To date, Proteus Fund, and its affiliated 501c4 organization, the Proteus Action League, have distributed $280 million in grants, and provided other essential tools to support activists, advocates, networks, coalitions, and issue-specific campaigns at the local, state, and national level. Proteus Fund is headquartered in New York City, with staff based across the entire United States.
 
THE OPPORTUNITY
The Senior Grants Management Associate partners with program staff to support the grantmaking function of Proteus Fund and its 501c4 affiliate Proteus Action League. They are responsible for grant-related activities from initial inquiry from grant seekers to grant closure, and provide guidance to donor collaborative program staff, applicants, and grantees.
The Senior Associate provides administrative, database, compliance, and logistics support for the grants management function. They work closely with program staff and other departments across the organization, including finance.
This is a full-time (40 hours per week minimum) remote position for an individual located in the U.S. The position requires at least 5% and up to 10% travel for internal meetings and retreats as well as conferences and other events.
Key Responsibilities

Manage collection and review of grant proposals, including reviewing for completion and working with program staff and applicants to collect outstanding materials
Conduct preliminary due diligence and review of grant applications, including verifying tax status, identifying lobbying, flagging electioneering, and other compliance activities
Partner with staff to move proposals through the review and approval process
Prepare grant agreements and award letters, process grant amendment requests and prepare grant amendment letters
Support Director of Grants Management with managing the docket preparation and timeline, including creating project timelines, copy editing, final formatting, and compilation of dockets
Serve as a primary grants management contact for FSPs within portfolio
Maintain and update online applications, reporting portals
Support Director of Grants Management with maintaining and updating the grants management database
Act as a liaison with applicants and grantees
In coordination with the Director of Grants Management, act as a grantmaking thought partner with program staff
Process grant agreements for electronic signature
Prepare grant records for payment requests and coordinate with Finance to ensure timely and successful processing of payment requests
Maintain and ensure integrity of grants management database and update grants index on website
Collect reports from grantees, review, distribute to program staff, and close completed grants
Provide data and reports on grantmaking as needed
If needed and in coordination with donor collaborative staff, assist with arranging logistics for docket meetings
Respond to requests for information from program staff and organizations seeking funding
Keep informed of the best practices in the grants management field, develop a good understanding of IRS regulations around lobbying, and recommend and help implement improvements to the grants management process

 
CANDIDATE PROFILE
The Senior Grants Management Associate will have a  Bachelor’s degree and three to five years of experience in a grantmaking role in philanthropy, or equivalent number of years’ experience. We value candidates who can demonstrate capability and articulate how prior experiences will help them to contribute to the organization’s mission. It is preferrable that candidates have experience with  rapid response and/or grassroots grantmaking, the ability to apply best practices regarding social justice,  and a knowledge of current grantmaking IRS regulations. Experience with Flux Technologies CRM is a plus.

COVID-19 VACCINATION REQUIREMENT

Proof of the CDC-recommended level of COVID-19 vaccination is required as a condition of employment with Proteus Fund. The starting salary for this role is $73,934 to $89,460 and is based on a variety of factors including, but not limited to, geographic location, skill set level, years of previous/applicable experience, and Proteus Fund’s commitment to ensuring pay equity within the organization. The recruiting team will share more details regarding salary bands based on the candidate’s specific geographic location as well as the other factors noted above. Salary is one part of the total compensation that Proteus Fund provides to employees.
